Position Title:    FINANCE + ADMINISTRATION MANAGER

Reports to:        CEO / FOUNDER

Works with:      External Accountant + Auditor

Job Location:     Hybrid work arrangement (95% Home/ 5% Bowen Island)

Salary:  Hourly $30-$36 per hour based on experience. Time Commitment: 2-3 hours per day, 5 days per week

JOB SUMMARY

Reporting to the CEO + Founder, the Finance and Administration Manager is responsible for specific aspects of Sangre de Fruta’s financial and administration operations, including all bookkeeping, receiving and processing of invoices and revenue, payroll, managing expenses, preparing financial reconciliations and reports, statements and documents as required, as well as attending and contributing to budget meetings, and supporting the human resources and administrative functions of the company.  The Finance and Administration Manager ensures the appropriate and safe handling of Sangre de Fruta’s records, forms, correspondence, and documents. The Finance and Administration Manager possesses solid organizational skills as well as a strong attention to detail.

Founded by Alison Audrey Weldon, Sangre de Fruta Botanical is a company that manufactures and sells hair care and skincare to the luxury beauty and wellness retailers, spa and hotels. Using plant-based products, Sangre de Fruta produces exquisite botanicals through thoughtfully sourced and handcrafted products. We are a company that has grown our brand significantly in the past five years and are now visible in exclusive hotels and locations across North America. We are looking for a mainstay Finance Administrator to join our team and be a part of our movement in the health and wellness space.

 

DUTIES & RESPONSIBILITIES

Financial Strategy & Management

  • In collaboration with the CEO + Founder, oversee the financial management of Sangre de Fruta, including working on the preparation and implementation of the annual budget
  • Prepare monthly, quarterly, and annual financial statements and other compliance activities, as required
  • Oversee yearly audit and provide information as requested and required
  • Oversee risk management and legal activities, guarantee compliance with all relevant regulations by ensuring that all administrative and accounting functions are conducted in compliance with all provincial and federal regulation
  • Provide subject matter expertise to the CEO + Founder, and staff to ensure best financial practices are in use and established policies are employed
  • Ensure that financial practices adhere to the generally accepted accounting principles, and prudent, ethical business practices, including security control measures
  • Complete all necessary banking for Sangre de Fruta, including reconciling monthly bank statements and deposits

 

Finance Administration

  • Remit and reconcile Accounts Payable on a timely basis
  • Prepare invoices for services rendered by Sangre de Fruta
  • Review invoices for accuracy and notify the CEO + Founder of any discrepancies
  • Prepare invoice payment and authorization for payment; process and balance invoices and charge appropriate taxes
  • Reconcile Sangre de Fruta credit card expenses for allocation to budget
  • Prepare and remit quarterly WCB reports and annual HST reports
  • Complete banking, including reconciliation of monthly bank statements and deposits
  • Track and input all required financial information into accounting system
  • Verify and process employee expenses and petty cash
  • Tax preparation and any CRA related filings and communications

 

Human Resources

  • Ensure the implementation of HR policies and procedures to comply with employment laws and regulations
  • Ensure that all new employees are properly onboarded and trained on organizational policies and procedures
  • Ensure staff are trained on and comply with organizational policies and procedures
  • Support the recruitment and selection process, including advertising job vacancies, screening resumes, conducting interviews, and making job offers
  • Support employee relations issues, including complaints and disciplinary actions.
  • Maintain accurate and up-to-date employee records, including personnel files
  • Prioritize the health and safety of staff and visitors to the facility

 

Payroll

  • Administer and process payroll in keeping with standard payroll legislation and procedures
  • Track and monitor vacation and sick time
  • Oversee the processing and submission of statuary holiday and benefits remittance
  • Oversee the preparation and delivery of employee T4 and/or ROE documentation
  • Respond to ad hoc queries in relation to payroll or benefits

 

Year End Preparation + Reporting

  • Coordinate yearly audit and work with external auditor or external professional services on all all necessary information.
  • Prepare Quickbooks final trial balance and pull data into NTR Financial Statements

 

Administration

  • Support the renewal and review of the facility lease for Sangre de Fruta
  • Support the procurement of supplies and equipment for the facility
  • Develop and implement sustainability initiatives to reduce the environmental impact of the facility
  • Oversee administration and allocation of keys, security swipe cards, and other building security procedures

 

QUALIFICATIONS & SKILLS

  • Post-secondary diploma in business/accounting, supported by ongoing professional development, or equivalent combination of experience and education 
  • Minimum 3-5 years of recent related experience 
  • Basic understanding of CRA Rules and Regulations
  • Proven knowledge of and ability to carry out basic financial procedures (e.g. data entry and financial controls)
  • Experience using relevant accounting software (e.g. QuickBooks)
  • Understanding and knowledge of the Employment Standards Act (ESA) and WorkSafe BC requirements and regulations
  • Proficient in the use of word processing, databases, spreadsheets, e-mail, social media, presentations, in particular Microsoft Office
  • Proven diplomacy, tact, empathy and understanding of sensitive / confidential issues
  • Satisfactory completion of a criminal record check
